Subscription Cancellation Policy

How to Cancel or Change Your Subscription

You can cancel, downgrade, or change your ReviewMinister subscription from your account dashboard. This guide explains when changes take effect, what happens to your access, and the difference between cancelling a subscription and deleting an account.

1. How to Cancel Your Subscription

  1. Sign in to your account Open and sign in using the account that owns the subscription.
  2. Open Billing or Subscription Go to Account → Billing & Subscription .
  3. Select Manage Subscription Review your current plan, billing frequency, renewal date, and payment status.
  4. Select Cancel Subscription Follow the confirmation steps shown on screen. You may be asked to provide a reason for cancelling.
  5. Confirm the cancellation Cancellation is complete only when the dashboard shows the subscription as cancelled or scheduled to cancel.

After cancellation, we will normally send a confirmation email showing your cancellation status and the date your paid access is expected to end.

2. When Cancellation Takes Effect

Cancelling a subscription normally stops automatic renewal at the end of the current billing period.

Your billing period may be monthly, annual, or another period shown at checkout and in your subscription details.

The confirmation screen in your dashboard is the best source for the exact effective date of a scheduled subscription change.

3. Your Billing and Renewal Date

Your subscription renews according to the billing date shown in your dashboard and Order History.

Cancelling before the renewal date prevents the next automatic subscription charge, provided the cancellation is completed successfully before the renewal is processed.

To avoid an unintended renewal, complete cancellation before your displayed renewal date rather than waiting until the final day.

4. What Happens to Your Access

Unless the subscription is cancelled immediately for a specific reason, you will normally continue to receive the features included in your paid plan until the current billing period ends.

During the remaining paid period, you can normally continue to:

  • access your dashboard;
  • manage businesses and review links;
  • use remaining plan features and allowances;
  • view eligible feedback and analytics;
  • download available QR codes and reports;
  • export data where your plan permits it;
  • reactivate or change your scheduled cancellation where supported.

Your remaining usage allowance does not normally convert into cash, credit, or a future-period allowance.

5. What Happens After Paid Access Ends

When the paid subscription reaches its end date, your Account will normally move to the free plan, where a free plan is available.

The following may then occur:

  • paid-only features become unavailable;
  • business, location, user, generation, or usage limits are reduced;
  • white-label branding is removed;
  • advanced analytics and reports become unavailable;
  • private feedback visibility may be restricted according to the free plan;
  • language, customisation, automation, or integration features may be reduced;
  • some existing resources may become read-only or inactive;
  • new activity may be prevented where the free-plan limit has already been exceeded.

Downgrading does not guarantee continued access to every feature, business, link, report, integration, or item created under the paid plan.

6. What Happens to Existing Businesses and Review Links

We will not normally delete your Account merely because a paid subscription ends.

However, existing businesses, review links, QR codes, NFC destinations, and related resources remain subject to the limits of the plan that becomes active after cancellation.

If your Account contains more resources than the new plan permits, we may:

  • allow existing resources to remain visible but restrict editing;
  • require you to select which resources remain active;
  • pause resources that exceed the new plan limit;
  • prevent creation of new resources;
  • ask you to upgrade before reactivating restricted resources.

The dashboard should identify any affected resources and available actions.

7. What Happens to QR Codes and NFC Products

A physical QR or NFC product may continue to exist after subscription cancellation, but its digital functionality may depend on the Account, hosted review page, configured destination, and active plan.

After paid access ends:

  • a directly encoded third-party URL may continue to open that destination;
  • a Platform-hosted review page may continue under free-plan conditions;
  • paid customisation, branding removal, or analytics may stop;
  • an inactive or excess business link may be paused;
  • destination editing may be limited;
  • scan and tap analytics may be reduced or unavailable.

8. Downgrading Your Plan

Instead of cancelling completely, you may be able to move to a lower plan.

  1. Open your subscription settings Visit .
  2. Select Change Plan Compare available plans, features, limits, and billing frequencies.
  3. Choose the lower plan Review which features or allowances will be removed.
  4. Confirm the effective date The dashboard will show whether the downgrade is immediate or begins at the next renewal.

Before downgrading, consider exporting important information and reviewing whether your current number of businesses, users, review links, or other resources fits within the new plan.

9. Upgrading Again

You may normally upgrade again from the subscription page.

Depending on the billing configuration:

  • the upgrade may begin immediately;
  • a prorated amount may be charged;
  • your next renewal amount may change;
  • restricted resources may become available again;
  • new plan limits may apply as soon as payment succeeds.

The price and effective date will be shown before you confirm the upgrade.

10. Cancelling During a Free Trial

Where a free trial is offered, you can cancel before the trial ends to prevent the subscription from converting into a paid plan.

Your dashboard should show:

  • the trial end date;
  • the plan that will begin after the trial;
  • the amount that will be charged;
  • the scheduled billing date;
  • whether payment details are already saved.

After cancellation, trial access may remain available until the displayed trial-end date unless the confirmation screen states otherwise.

11. Cancellation and Refunds

Cancelling a subscription prevents future renewal. It does not automatically refund charges that have already been processed.

A subscription cancellation and a refund request are separate actions. Cancelling the subscription alone does not submit a refund request.

12. Cancelling After a Renewal Charge

If you cancel after a renewal payment has already been successfully processed:

  • the cancellation will normally prevent the following renewal;
  • the newly paid billing period may remain active;
  • the latest charge is not automatically reversed;
  • you may submit a separate refund request where appropriate.

13. Failed or Pending Payments

If a payment is failed, pending, disputed, or overdue, subscription access and cancellation options may differ from a normally active subscription.

We may:

  • retry the payment;
  • ask you to update the payment method;
  • temporarily restrict paid features;
  • cancel or expire the subscription after unsuccessful retries;
  • move the Account to the free plan where available.

Cancelling does not remove outstanding amounts that remain lawfully payable.

14. Removing a Scheduled Cancellation

Where supported, you may be able to reactivate a subscription before the current billing period ends.

To check:

  1. open your Billing & Subscription page;
  2. select the cancelled or scheduled-to-cancel subscription;
  3. choose Reactivate Subscription;
  4. review and confirm the next renewal date and amount.

Reactivation must be completed before the subscription reaches its final access date.

15. Cancelling Is Not the Same as Deleting Your Account

  • Future subscription renewals stop.
  • Paid access normally continues until the billing period ends.
  • Your Account remains available.
  • You may move to the free plan.
  • Your stored data is not automatically erased.
  • You may be able to upgrade again later.
Delete Account

Your Account Is Closed

  • Account access is removed.
  • Businesses, settings, and user access may be deleted or anonymised.
  • Review links and hosted pages may stop working.
  • Deletion may not be reversible.
  • Some records may be retained where legally required.
  • Active billing should be reviewed before deletion.

16. How to Delete Your Account

To permanently close your Account, use the account-deletion option available at: .

You may be asked to:

  • sign in again;
  • verify your identity;
  • confirm the deletion request;
  • review active subscriptions and outstanding Orders;
  • confirm that you understand the impact on businesses and review links.

Account deletion may be permanent. Export any information you want to keep before completing the deletion request.

17. Should You Cancel Before Deleting?

Where possible, cancel any active subscription before deleting the Account.

This allows you to:

  • confirm that future renewal has stopped;
  • review your final access date;
  • download invoices and Order records;
  • export available business and review data;
  • resolve outstanding payment or refund matters.

If you request Account deletion while a paid subscription is active, we may cancel the subscription as part of processing the deletion request, but deletion does not automatically create a refund.

18. Data After Cancellation

Subscription cancellation alone does not mean that all Account data will be deleted.

We may continue to retain Account information in order to:

  • provide free-plan access;
  • allow later reactivation;
  • maintain business and review-link functionality;
  • keep Order, invoice, payment, and tax records;
  • prevent fraud and misuse;
  • resolve disputes and support requests;
  • meet legal and regulatory obligations.

19. Exporting Your Data

Before your paid access ends, you should download any information that you may need and that is available for export.

This may include:

  • business details;
  • review and feedback activity;
  • analytics and performance reports;
  • QR code assets;
  • Order and payment history;
  • invoices and receipts;
  • other available account records.

Some exports may no longer be available after the Account moves to a lower plan.

20. Team Members and Business Access

If the subscription belongs to an organisation, only the Account owner or an authorised administrator may be able to cancel or change it.

Cancelling the organisation’s subscription may affect:

  • all team members;
  • all businesses and locations under the Account;
  • shared review links and QR codes;
  • analytics and report access;
  • integrations and automation;
  • role and permission functionality.

Team members should contact their Account owner if they cannot access subscription controls.

21. Subscriptions Purchased Through Another Provider

If a subscription was purchased through a partner, reseller, mobile marketplace, or another billing provider, it may need to be cancelled through that provider.

The cancellation page should identify the billing provider and any relevant instructions.

22. If You Cannot Cancel

If the cancellation option is unavailable:

  1. confirm that you are signed in to the correct Account;
  2. confirm that you are the Account owner or billing administrator;
  3. check whether the subscription is already cancelled, expired, or pending;
  4. check whether billing is managed by another provider;
  5. try signing out and signing in again;
  6. contact support with the relevant Account and subscription details.

Do not send complete payment-card details, passwords, or security codes in a support request.

Will I lose access immediately after cancelling?

Usually not. Paid access normally remains available until the end of the current billing period shown in your confirmation.

Will I be charged again?

A successfully cancelled subscription should not renew after its current billing period. Check the dashboard for the cancellation status and final access date.

Does cancelling delete my Account?

No. Cancellation normally stops subscription renewal but leaves the Account open.

Does cancelling automatically refund my latest payment?

No. Refund requests are handled separately under the Refund Policy.

Can I continue using the free plan?

Where the free plan is available, the Account will normally move to it after paid access ends.

Will my QR codes continue working?

This depends on the QR destination, Account status, hosted review page, and free-plan limits. Paid branding and analytics features may stop.

Can I reactivate my subscription?

You may be able to reactivate before the final access date or upgrade again after the subscription ends.

What happens to unused monthly allowances?

Unused allowances normally expire at the end of the applicable billing or usage period and are not paid out or transferred.
